In the Excursion Details section, please include the:
- Excursion Name - Type the name of the excursion
- Excursion Type - Select the type of excursion
- Excursion Destination - Select the location: jurisdiction (State/Territory)
- Excursion Start Date - Enter a Start Date from the calendar and select OK
- Excursion End Date - Enter an End Date from the calendar and select OK
There are three (3) excursion types all excursions categorise into.
They are:
- Day Excursions – A Day Excursion is a one-off excursion that does not involve an overnight stay. A Day Excursion can range from an excursion that takes a few hours through to a full day trip and includes activities that occur on School premises (i.e. incursions).
- Overnight Excursions – An Overnight Excursion is an excursion that involves one or more overnight stays within Australia.
- International Excursions – An International Excursions is any excursion that requires international travel.
If the Excursion type is Day Excursion or Overnight Excursion, a third drop-down will appear for these Excursion types only.
3. Excursion Destination – select the jurisdiction where the Excursion is taking place
The drop-down defaults to your School’s jurisdiction. If you are not going interstate, leave the drop-down as the School’s jurisdiction. If you are going interstate, select the jurisdiction you are travelling to. If you are travelling interstate, STB will show content for your School’s jurisdiction and the jurisdiction you are travelling to, where there is specific content for both jurisdictions.
4. Excursion Start Date and End Date
A calendar will appear when you select The Excursion State Date field. Here you should enter the Start Date of the excursion by selecting the date on the calendar and then select 'Ok'.
You will need to do the same for the Excursion End Date. You can de-select your response by selecting 'Cancel' on the calendar.
If you have selected 'Day Excursion', you will not be able to select an End date that is different from the Start date, as this is then assumed as an Overnight Excursion.

FAQ
If we are completing a risk assessment for weekly sports events over the course of a Term or swimming lessons that are re-occurring, do we have to do multiple risk assessments? How do we capture the dates?
Answer = No
It is unlikely that each time the students go out the situation will be exactly the same. However, it is unrealistic to expect a risk assessment each and every time when most factors will remain the same. So it is important that your risk assessment is comprehensive and takes all situations into consideration, including scenarios which are considered to be higher risk.
Using the ‘Title’ of the excursion is important to identify the period of time this event/re-occurring excursion will take place. For example, ‘Winter season Rowing [Date] – [Date]’
When completing the Date fields, make the Start and End date the same for a Day Excursion. The Start/End date you choose will be the first date students start this event/activity.
When completing the ratio field, consider the maximum number of students and minimum number of staff that will attend at any given time. This is your tolerance that you will not drop below on any given day.
Add additional risk categories for risks such as activities that may occur as part of the event on some days, even if they don’t occur on all days. Make use of the ‘Additional Information’ section to capture anything to consider as the event/activity occurs. The risk assessment can be amended over the course of the event/activity if necessary.
The product team is looking into options to support re-occurring excursions and events following the introduction of the new excursion date fields in STB.
FAQ
If I am a school from NSW going to ACT (or other states) and doing an activity, which content applies?
Answer
It is our view that you can (now with this new feature) and should review and consider the content from your destination State. In some situations schools from interstate will be required to meet different standards and legal and regulatory requirements that apply in their destination State. Some of these differences may be the destination State education department guidelines that would generally not apply to an interstate school, while other differences may be relate to legal and regulatory requirements that may well apply to a school visiting from another State. It is important that schools be aware of these differences and act accordingly.
