Most schools have a dedicated approver for excursions, such as the principal. However, in the instance that the dedicated approver is not available (e.g. is on leave at the time you propose the excursion), you may need to send your excursion to a different approver (e.g. deputy principal or secretary) to expedite the process.
You may change the approver at the following stages of your excursion’s journey:
Before submitting your proposal for pre-approval (In 'draft' status), by selecting the blue 'Edit' button and navigating to the first page, 'Excursion Proposal'
Select the 'Excursion Proposal' heading on the left-hand navigation. You can also click the green 'Back' button to get to the first page.
Scroll to the bottom of the page and input the new pre-approver, by clicking into the white space and selecting the email address from the list of options. You can click the x on the initial approver to remove them.
Ensure you save your changes by selecting the green save button at the bottom right or top right of the page. You will need to save every page of the proposal and then submit the excursion proposal for the notification to go to the new approver.
After submitting your proposal for pre-approval, by selecting the 'Update Approver/Administrator' button (highlighted in purple)
In the pop-up that appears, edit the pre-approver by clicking into the white space and selecting the email address. Select the blue save button. An email will be sent to the new pre-approver.
Prior to submitting your excursion for final approval. Select the 'Update Approver/Administrator' button and follow the same steps of selecting the new approver from the pop-up and then select 'save'.
Even after the excursion is submitted for final approval and the status changes from 'pre-approved' to 'submitted', you can still update the approver/administrator as below, before the approver approves the excursion. Emails send to the new approver whenever you update the approver.
