A Register Template can be set as Super Sensitive. This means that access to Forms in this Register Template is then restricted.
In this article, you will learn about:
- Who Can Access Super Sensitive Register Templates
- Setting Register Templates as Super Sensitive
- Granting Full Users Access to Super Sensitive Forms
Who Can Access Super Sensitive Register Templates
- Only a Super User can provide other users with access to this template.
- Only a Full User with Super Sensitive Update Rights can be made the Person Responsible for this template.
Full Users with Read All Template Rights and Manage All Template Rights will not see Forms that relates to Super Sensitive Register Templates. They will need to be explicitly given Super Sensitive Access Rights.
Setting Register Templates as Super Sensitive
To set a Register Template as Super Sensitive, first select on the the Admin Gear Wheel in the top right of the screen, select Register and Forms Templates under the Registers and Forms section, then select the template you would like to make Super Sensitive.
Once you have selected the template you want, under the Details tab select the Edit button:
Now tick the box under Super Sensitive and select Update:
Note that in order for a Register Template to be made Super Sensitive, or to change a Super Sensitive Register Template back, it cannot be used in any custom Access Roles. If it is, you will see this message after selecting the Update button:
You will need to go into Access Rights and remove this Register Template from any custom roles that use it. For more information, on customising access roles click here.
The only users who will be able to view or be made Person(s) Responsible for these Forms are Super Users and Full Users who are explicitly given access to Super Sensitive Forms by Super Users.
Granting Full Users Access to Super Sensitive Forms
If the template has existing Forms made before the Register Template was set to Super Sensitive, then the Person(s) Responsible will remain there and can continue to view the Forms until they are removed. However, if you attempt to edit a Super Sensitive Form that has a Person Responsible without the appropriate access rights you will receive this error message until they are removed:
In order to grant a Full User access to Super Sensitive Forms, they need to be assigned the correct Access Role. Only Super Users can assign other Full Users to Super Sensitive Forms. Super Sensitive access roles work in the same way as Register access roles, but they cannot be set up by category, only by template.
In order for a Full User to be made a Person Responsible for a Super Sensitive Form, they need to at least have Super Sensitive Update rights to that Register Template. They get Read, Update, Close and Re-Open to that Super Sensitive Form while they are the Person Responsible for it.
