Any Full User can be made an Approver for a Register Workflow. If the Approver(s) do not have Access Rights to the Assurance Form, they will get temporary Read and Update rights to that Form starting from when an approval has been requested, until all the Approver(s) have approved the Form. After the Form has been approved, their temporary Access Rights will be revoked.
Please Note: Any Full User can be made the Approver of a Super Sensitive Register Template workflow. The Full User does not need to have specific Access Rights to that Super Sensitive Register Template.
In this article, you will learn about:
- Who Can Be Made an Approver
- What if That Full User Does Not Have Access Rights to the Form
- What Happens After the Approver Has Approved the Form
- Example Approver Scenario
What is an Approver for a Form
Every Register Template can be set up with a workflow of stages with Approvers who will need to Approve or Reject a Form moving to the next stage or being closed off.
You can think of the Approver for a Form as the gate keeper to a stage in a workflow. Unlike the Person Responsible, they may not necessarily have ownership of individual Forms, but rather a manager who will need to Approve or Reject Forms moving to the next stage or being closed off.
Who Can Be Made an Approver
Any Full User can be made an Approver for a Register Workflow.
What if That Full User Does Not Have Access Rights to the Form
If the Approver does not have Access Rights to the Form, they will get temporary Read and Update rights to that Assurance Form starting from when an approval has been requested until all the Approver(s) have approved the Form.
What Happens After the Approver Has Approved the Form
After the Form has been approved, their temporary access rights will be revoked.
Once the approval is completed, the final Approver will no longer have access to the Form and will be taken back to the home screen.
Example Approver Scenario
Linda Dunn has no Access Rights to Forms on the Feedback & Complaints Register. However, Linda is one of the Business Unit Approvers for Sydney. A Form has been submitted through the Public Link with the Key FB-5 under the Sydney Business Unit.
- What access rights does Linda have? Linda has no Access Rights to the Feedback & Complaints Register.
- What can she see in the Register? She will see only FB-5.
- What can she do? Linda will get temporary Read and Update rights to FB-5 from approval request until all the approvers have approved the Form to the next stage.
All the Approvers have approved the Form to the next stage.
- What Access Rights does Linda have? After the Form has been approved, Linda’s temporary Access Rights will be revoked.
