Note: Tasks or Actions share exactly the same function and customers may refer to either depending on the adopted terminology in their site.
All possible task responses can be tailored by an Administrator.
It is mandatory to have at least three responses - an in progress response, a positive response and a negative response. The latter does not necessarily have to be negative in reality. The word 'negative' is just used for the system to discern what to do next with these responses.
A negative response could indicate roadblocks preventing completion. The default language that is used in Assurance is In Progress, Compliant and Not Compliant. However some of our customers use Doing, Done and Cannot Do.
In responding to a task, the following rules apply when you choose from the various responses:
- Not Compliant or Cannot Do: This response completes the task/action assignment, it is removed from the To Do list.
- Compliant or Done: This response completes the task/action assignment, it is removed from the To Do list.
- In Progress or Doing: This response highlights the task/response on the To Do list, but it does not complete it. The task/action remains until either of the first two responses are chosen.
To amend the possible action/task responses, navigate to Task Responses:
You can add a new action response by selecting the + New Task Response (screenshot 1). Next, add in the new details (screenshot 2), select whether it is an In Progress, Positive, or Negative response and select on Create. Once you have created your new response, drag and drop to re-order the type of response if required (using the three vertical dots to the left of the title).

To edit these existing responses, select on the title of the response and type in the new value. Tick to save the new value. Be sure to change the response type if required, by selecting on the word and choosing from the drop-down list of options.
Note: Please be aware that changing the responses in any way will update already completed or in progress assignments as well as making the response type available for new assignments and those not yet answered.
You can change the action/task response colour by clicking on the colour and either choosing a colour from our colour palette or putting in a new HTML colour code with a hash key # in front of it (you can search for these using any HTML Colour picker e.g. http://html-color-codes.info/).
The Description for a response can be added as well, this is just for administrator purposes.
