Business Unit Managers are users who are able to create and manage users within certain business units and their sub business units. They can also view and manage certain elements of templates (registers and forms) within Assurance, without having to be made full administrators. They can also access launchpads.
See this article for how to manage users as a Business Unit Manager.
To make a user a Business Unit Manager, navigate to their user page and click on the Rights tab:
On the Rights tab select Add Role, then on the pop up that appears, select Business Unit Manager under Role Type:
This will bring up several fields for you to fill out.
- Select Business Units - These are the business units that this user will be able to manage. For example if you select the business unit 'Finance', then this user will be able to manage any user in the Finance business unit and any sub business units.
- Assign these Roles to Users - As part of their access to users within a business unit, Business Unit Managers are able to assign access roles to them, but only specific roles that you allow them to assign when you set them up as Business Unit Managers.
- Profiles can manage - As part of their access to users within a business unit, Business Unit Managers are able to assign user profiles to them, but only specific profiles that you allow them to assign when you set them up as Business Unit Managers.
- Templates can manage - Assurance templates that this user will have access to.
Once you have finished filling out this popup click Save.
Now when this user logs into Assurance they will be able to access the admin screen, but will see an altered view compared to full administrators.
Under Users, they will only be able to see users who are in the business units and sub business units that they have been given access to. The Business Unit Manager can Edit these users, and see what Registers and Forms/Actions or Tasks/Checklists they have assigned to them and will be able to remove any of the user access rights, but can only assign the rights/profiles that they were given access to.
Under the Registers and Forms section on the admin page (Form Templates in screenshot):
The user will be able to manage the specific templates that they were given access to:
- The user can edit a template, including the stages on the template and the credentials required.
- The user can change public link settings.
- The user can add fields from the field library, remove and rearrange existing fields on the template.
- The user can set up default Actions or Tasks and Checklists, assuming they have rights to view those Actions or Tasks/Checklists.
- The user can set up custom notifications for the template.
- The user can set up MergeDocs for the template.
- The user can view the Assurance Field Library.
- The user can set up public link launchpads.
However:
- The user cannot retire a template, or make it super-sensitive.
- The user cannot create new templates.
- The user cannot create new fields, or edit existing fields. They can only use fields from within the Assurance Field Library.
- The user cannot use a Users Report or a User History Report as these reports are for Admins and Super Users only.
Note: When it comes to approvers and users set up in custom notifications, the Business Unit Manager can remove any user already set up, but can only add back in users from within the Business Unit(s) they manage.
