An Administrator can import new data into an existing Register. You can also export data from one Register and import into another. For the latter, you will need to 'Configure the columns' of the Register, export the Register, then import to the different Register.
You will need to know the rules of the fields in the Register you are importing data against. For example, if there is a Single-Select field, there are a limited number of options for the answer to the field and the imported terminology has to exactly match what is in the template.
Note: Here is an article listing data import rules. The article also specifies how to enter two answers to a field for Multi-Select fields. Here is also an article on updating existing data that is already in Assurance.
In this article, you will learn about:
- Importing Registers and Forms
- Downloading an Import Template
- Uploading Data onto the Register
- Errors in the CSV file
Importing Registers and Forms
1) Navigate to Import Registers and Forms.
- Administration (top right gear wheel) - 'Import', under the General section
- Select Registers and Forms
Downloading an Import Template
Select Download Import Template and download a New Registers & Forms Import Template
A list of available templates will be displayed. Select the correct template. Assurance will download a CSV file automatically for you to fill with data.
Populate the CSV file with your records. Use one row for each Assurance record.
Uploading Data onto the Register
When your data is ready to import, navigate to the Registers & Forms Import screen and select on Upload Data then select the appropriate template that you are uploading data to.
Assurance will first validate the import. If all the records are OK, then you can proceed to import them to Assurance. Select on the blue Import button to import the records. You may also abort the import by selecting on the yellow Abort button.
Once the import has been successfully completed, Assurance displays the details of the successfully imported records. You can view any successfully imported Assurance record by selecting on its Register Key displayed in the Imported column. You can also navigate to the Register in the top grey banner under 'Registers and Forms' and find the records in the Register.
Bulk importing Forms via a New Import Template is the akin to individually creating Forms but allows you to do so in a bulk manner. As such, any of the fields that are mandatory when creating a Form normally will also apply when bulk importing Forms. Similarly, any conditional logic will also apply and fields that are dependent must be selected in order for any populated data to appear in Assurance.
Errors in the CSV file
If Assurance has encountered errors in the CSV file, it will let you know as per the screenshot below. If you get stuck, here is an article to support What to do if there are errors in my import file.
