There are two different Assurance user types. Full users and Lite users. Full users require roles added to their profiles. This is a list of possible roles full users can be assigned. Lite users inherit their roles from the tasks (actions) or checklists they are assigned.
This article explains the user types and what a person can do with either role type. Here is an article that will take you through how to add these roles to an account.
Full User
A full user can be set up as a Super User, which is essentially a site administrator who can see and do everything in the site, or can be scaled down to have full access only to certain sections of the site.
As a Super User they can access the entire back end of the system to customise the site.
A Super User is identified with a star icon, once added to the site.
A Full User is identified with a profile icon, once added to the site.
Full Users can be included in workflows, if given those roles.
They can assign tasks and checklists if given these roles and be assigned tasks and checklists.
They can create new templates and amend existing ones if they are given access to the Administration Rights or Admin with Retire Rights roles. These roles will also allow them to add and retire users and manage all other administration settings.
Business Unit Manager role. This role gives the person the ability to manage users, roles, templates and launchpads only for specific business units. It is a way of allowing administration access just to one particular business unit. Business Unit Managers cannot create templates and they can add new fields to a template, but only from the existing field library.
Full users can use the reporting function. They do not need a role for this, except if they want to be able to share reports, they need the General - Share Reports role. They cannot see any other full users' reports, unless they are shared those reports (even as a Super User).
Lite User
A lite user can be assigned checklists and tasks.
They can be conditionally notified when new forms or entries on the register are created (incidents, complaints etc.). As this functionality is designed to be an FYI only, the Lite User can’t contribute anything to the form - they’re just notified via an email with a PDF copy of the submission that triggered the notification (PDF is an optional setting).
Lite users can be tagged in the Notes (diary) section of a risk or form/entry on the register (incidents, complaints etc.) However, lite users should also only see this as an FYI, as they cannot access the data from links within these tagged emails.
Unlicensed User (Optional Term)
People who do not login to Assurance can still interact with the system by submitting forms via a public link.
An unlicensed user can be notified when certain functions are set up. Such as if their form has been rejected, requires more information (send back to submitter) or has been closed.
