If an Assurance user is going to be leaving the organisation temporarily, they can be Suspended, rather than Retired from Assurance. This is best used when the person does not have ongoing responsibilities, such as an approver in workflow, or with a task (action) due date coming up.
Suspending a user can be done by clicking on the orange Suspend button next to the Retire button, on the user profile. A user can then be unsuspended when they return, by selecting the button again, which is now green.
There are a couple of considerations to keep in mind when suspending users.
1) If the suspended user is part of a workflow, that form cannot be submitted. The following error will result if this has occurred
2) A suspended user cannot have their responsibilities reallocated. They must be switched to active while reallocation is taking place. Even if the person who is having their responsibilities reallocated is not a suspended user, if anyone in the workflow is suspended, the responsibility cannot be reallocated until this is resolved.
There is another option called 'leave management' to manage staff who are going on leave and will return to their responsibilities in due course.
Alternatively, you can reallocate their responsibilities permanently to someone else.
