To Copy Data to Another Register
Important Note: If you are copying to a new Register note, that only the fields that the two templates have in common will have their data copied over. This means for example that if both templates have the same 'Risk Description' field, then the data in this field will be copied over when copying the Risk over to a different Register. However if the first Register has a 'Risk Description' field, and the second Register does not then this data will not be copied over.
1. Click Registers And Forms in the top menu
2. Click All Registers And Forms
3. Locate the form you would like to copy
4. Click on the Title of the form you would like to copy
5. Click the three dots
6. Select Copy from the dropdown menu
7. This will reveal a screen with several options:
- Copy To: Lets you choose if you want the copy to be made in the same Register, or a different Register. If you select a different Register to copy the Form to then the one the Form was made in, a new section will appear called Select Fields to Copy (see example image below).
- Title: Lets you change the title of the new Form.
- Person Responsible: Choose the Person Responsible for the new Form.
- Additional Options: Lets you link the copy being made to the original Form, and gives you the option of whether or not to copy the attachments from the current Form to the new Form.
8. Click the textbox beneath the Select fields to copy option
9. Choose one of the three available options:
- All fields that are in both templates. All the fields that the two templates have in common will have their data copied over.
-
Selected Fields. This will bring up a list of the fields in both templates that match. By default all of the fields will be selected, but if you only want certain fields to be copied over then you can untick the box next to fields you do not want to copy over.
- Only fields in the first stage of <Register>. This will only copy over the fields that match and that are visible in the first stage of the template that is being copied to.
