The 'Email to Assurance' feature enables you to forward emails, or email documents, videos, images and more directly to a form on a register (incident, contract, etc.).
When Assurance receives an email, it uploads the email and its attachments to the contract separately.
Where do I find my Email to Assurance Address?
You will first need to get your 'unique to you' Email to Assurance email address. You can find this email address by going to <your name> and then selecting Settings.
You will now see the 'Email to Assurance' feature and you can copy your unique Email to Assurance Email address.
Now add your Email to Assurance address to your Email Address book. This will allow you to Email to Assurance anytime you want to.
You can also reset the Email to Assurance address by clicking the 'Reset Email Address' button.
Please note that after you reset the email address any emails sent to the old email address will not be sent to Assurance.
Emailing to Assurance
This is easy. When you receive an email that you would like to forward to Assurance. Click Forward in your email software.
Add the Assurance Key at the Start of the Subject line of your email. The Key is easy to find, every form has a Unique Key.
Then add the Email to Assurance address in the To or Bcc. We recommend that if you are sending an email only to Assurance you put the Email to Assurance in 'To' but if you are sending the email to multiple people not just to Assurance, you use 'Bcc'.
How do the email and the documents appear in Assurance?
The email and the documents that have been forwarded to Assurance are uploaded to the attachments Tab of the relevant Assurance.
You will also receive a confirmation email that the email was successfully uploaded
What happens if I forget to put the Key in or get it wrong?
If you forget to put the Key in or get the Key wrong, Assurance will send you an email that says that it was 'Unable to Locate the Form or Register. If you view the email it will tell you how to login to Assurance and find the right form.
You can also login to Assurance and you will find the email in your To Do List.
Click on the 'Find Assurance 'button to associate the email with the right Assurance or click 'Delete' to remove the email and attachments from Assurance.
Please note that if you have sent the email to an incorrect Assurance key and that key exists in Assurance and you have permissions to it, Assurance will send the attachments to that Assurance.
